The Preference Service


Your privacy is important

The Preference Service is a powerful vehicle for both the consumer and the marketer. The true value of this vehicle is your privacy and your confidence in our ability to ensure your privacy. The following is our privacy policy guidelines.


How our program works
The Preference Service is the UK's leading provider of consumer preference data. It communicates to advertisers under this name and to consumers / members under either Postal Preference Service or Online Preference Service.

Postal Preference Service (our consumer facing brand) members provide their preferences and / or geographic and demographic information via an online / paper based survey.

The Preference Service communicates these preferences to advertisers and strategic partners to provide information to consumers according to their preferences.

Relevant advertisers may provide this information via mail shots or through our email service, Online Preference Service.

The Preference Service is a member of the DMA (Direct Marketing Authority). All activities are performed in line with DMA guidelines and the 1998 Data Protection Act.

 

Postal Preference Service members


When will the Online Preference Service contact Postal Preference Service members?

When you have included your email address and have not opted-out of being contacted by email in our survey (online / offline), then advertisers will contact you in line with the preferences you have outlined.

Advertiser mailings / emails will only be sent to members that are relevant to the preferences that have been outlined in their Postal Preference Service Survey.

The Preference Service provides opt-in data for the use of clients for permission-based mail shots and emails.
 

Opting out of mailings / emails
Members are given the opportunity when completing the Postal Preference Service Survey to tick yes, no or don’t mind, to receiving specific offers from advertisers. Members may say no within the survey as many times as they wish.

If a member completes an online survey, they will also be given the opportunity to opt-out of receiving further communication from Postal Preference Service.

Members are free to opt-out of Postal Preference Service membership at any time without penalty.

Members of Postal Preference Service that receive emails via the Online Preference Service are given two opportunities to unsubscribe from receiving emails:

If a member clicks on the unsubscribe from the Online Preference Service button at the bottom of any email, then they will be removed from our list within 30 days and hence will not receive any further communications from us via email. To opt-out of communication from all Preference Service communication (mail etc.), the member must contact The Preference Service directly either by telephone, letter or via our website.

An opportunity to opt-out of any specific product / company offer is always provided at the bottom of any email from the Online Preference Service. Removal may also take up to 30 days.  
 

Review / update your information / terminate Membership
Members can at any time review, modify or permanently remove all contact and interest information stored by The Preference Service by writing to the Postal Preference Service, Parkshot House, 5 Kew Road, Richmond, Surrey, TW9 2PR.

The Preference Service will never sell, rent, or otherwise use the contact information of former members.


Database cleaning practices

As a member of the DMA, The Preference Service cleans both it’s mailing files and member files against the Mailing Preference Service (MPS) database regularly.

Ongoing screening against NCOA, GAS and TBR is also performed.

Although The Preference Service files are cleaned thoroughly and in line with DMA guidelines and relevant legislation, clients (selected third parties) are responsible for the cleaning of their own mailing lists.


Access to data
Member data may be accessed only by the member themselves and at any time. This information may be requested by telephone, letter or via our website.

The actual copy of any survey that is captured is destroyed after a period of time for security purposes; hence an electronic version is supplied to the member, usually in a spreadsheet format. The breakdown of this data will be posted to the member within 5 working days.

Members may be asked to pay a small price for data extraction of £3.50 in line with industry standard.


Security

The Preference Service takes every precaution to protect its members’ information. When information is submitted either via a paper-based survey or via online-based communication, your information is protected both online and offline.

The Preference Service has made a substantial investment in the latest server, database, backup and firewall technologies to protect the information assets of The Preference Service. These technologies are deployed as part of a sophisticated security architecture and protocol. All data resides in a tightly controlled, secure data centre. These investments mean that information about the identity and preferences of individual members is never accessible to any unauthorized individual.

In terms of our disclosure of this information to advertisers, clients must provide full contact details and information relating to the nature of their business and subsequent mailings before a sale of data is permitted.

All employees are kept up-to-date on our security and privacy practices.

All clients using the Online Preference Service who wish to collect sensitive information must supply proof of a secure server and the necessary facilities to reduce risk of unauthorized access.

Advertisers using our data adhere to full terms and conditions.

No unauthorised access, destruction, use or disclosure of data is permitted.


Cookies

A cookie is a piece of data stored on the users hard drive containing information about the user, enabling tracking and targeting of those users. Although The Preference Service does not use cookies itself, its clients may use them at their discretion. For more information on client cookies, view their own privacy policies as relevant.
 


Children
All members of The Preference Service must be over 18, as stated within our survey.


Notification of changes

If we decide to alter our privacy policy, we will identify the date of alteration at the top of the altered page.
